Setup & Onboarding

How long does the onboarding process take?

The onboarding process typically takes 1 to 2 weeks. During this time, we will gain secure "Accountant" access to your QuickBooks or Xero file, connect your bank feeds, collect necessary historical documents, and establish our communication workflow.

What documents do I need to provide to get started?

We usually require your previous year's tax return, recent bank and credit card statements, access to your accounting software (like QuickBooks Online or Xero), and details of any active loans or payroll systems you use.

Do I need to sign a long-term contract?

No, we do not lock our clients into long-term contracts. Our monthly bookkeeping services are provided on a month-to-month basis. We believe in keeping your business through excellent service, not restrictive paperwork.

Monthly Bookkeeping

What exactly is included in monthly bookkeeping?

Our monthly service includes recording and categorizing all transactions, reconciling bank and credit card accounts, managing Accounts Payable (A/P) and Accounts Receivable (A/R) if requested, and delivering monthly financial statements (Profit & Loss, Balance Sheet, Cash Flow).

Do you file my annual business taxes?

We are specialized bookkeepers, not CPAs. However, we ensure your books are 100% "tax-ready" by year-end. We will work directly with your CPA or tax preparer, handing over clean, accurate financials so they can file your taxes efficiently and maximize your deductions.

How do you handle e-commerce platforms like Shopify or Amazon?

We use clearing accounts to accurately match payouts from payment processors (Stripe, PayPal, Amazon Pay) to actual sales. We also properly separate gross sales, refunds, chargebacks, and platform fees so your revenue isn't distorted.

Do you offer white-label bookkeeping for CPA firms?

Yes. We partner with accounting and CPA firms to act as their back-office bookkeeping team. We deliver the work securely under your firm's brand, allowing you to scale your capacity without the overhead of hiring full-time staff.

My books haven't been touched in a year. Can you help?

Absolutely. Catch-up bookkeeping is one of our core specialties. We will import your missing bank data, categorize all historical transactions, reconcile every month, and generate the missing financial reports so you are completely up to date.

How do you fix messy or inaccurate books?

We conduct a deep audit of your Chart of Accounts, identify duplicated entries, resolve un-reconciled differences, clear out bloated "Undeposited Funds" accounts, and ensure personal expenses are properly separated from business expenses.

Software & Security

Which accounting software are you certified in?

We are certified ProAdvisors for QuickBooks Online and certified partners for Xero. If you are currently using a different system or spreadsheets, we can help migrate your data to these industry-leading cloud platforms.

How is my financial data kept secure?

We take data privacy very seriously. We use bank-level encryption, multi-factor authentication (MFA) for all our software logins, and secure portals for document sharing. We never ask for your direct bank passwords; we use secure accountant access portals.

Pricing & Billing

How much do your bookkeeping services cost?

We offer fixed, transparent monthly pricing tailored to the size and complexity of your business. Pricing depends on factors like transaction volume, number of bank accounts, and whether you need A/R or A/P management. Check our Pricing Page for our standard packages.

How is catch-up or clean-up work billed?

Catch-up and clean-up projects are generally billed as a one-time flat fee. After a free consultation and a review of your books, we will provide you with a strict, upfront quote so there are no surprise hourly bills.
